No. Software installation may be installed on any computer for author’s use to upload and send dictations. Software may also be installed on staff computer to whom the downloading of dictations are designated to. However, if the computer requires an Admin to be logged on for software installation, client side will have to allow Med Encrypt to log on as Admin to finish the installation process.

IDs are assigned as follows:

• MTSO – one admin account
• MTSO – create unlimited MT companies, client companies, authors/physicians

• View transcriptions – includes all status’ from awaiting MT assignment, MT pending, Received by MT, MT In Progress, MT-Completed, Received by QA, QA in Progress, QA Second Level, Completed, Completed Author Received, Approved and Archived. Yes. There is an option to un-assign and reassign jobs to MTs and QAs.

Our line count is based on 12pitch Times New Roman font, Minimum and Maximum of 65 characters per line including spaces. You may specify the number of characters, cost per line, with/without spaces. You also have an option to also include Header and Footer.

Toll-Free Dictation System, Digital Voice Recorders, direct dictation on the system using a PC Mic.

Digital Voice Recorders come with a USB cable. Once logged onto Speech Smart and the digital voice recorder has been connected the computer via USB cable, Speech Smart automatically detects the device. The author has the option to manually download files from the recorder or have application automatically download the files.

Currently, our system is compatible with most Olympus Voice Recorders.

Sending - Unless the physician dictates through toll-free dictation system which goes directly to our server, they must install Speech Smart to send dictation files to MT Company. This statement is also true if you are using your own or third-party software. In this case, we would have the option for FTP Hosting Services. With FTP Hosting Services, we can retrieve the audio files from your software and once transcribed, we can send them back via FTP.

Receiving – Unless using your own or third-party software, Speech Smart is needed to retrieve transcribed documents on client side. Client may also download all dictations from our web portal.

It is preferred to use our Speech Smart application for all transactions between client and MTSO Company. If they prefer the transcriptions to be emailed or fax for any reason at all, it is possible. There is a minimal setup cost to have this feature done. Email must be a private account provided by your internet service provider or online hosting company. Fax line must be a secure line. This can be verified with your Telephone Service Provider.

There is an optional Fax Service. The faxes can be sent to the main author, also cc’d to any requested physicians. There is address book in the fax settings where the client can store all fax numbers that they would send transcriptions to.

Yes. Iscribe is a web-based application which can be downloaded from our web portal. With Iscribe, you will be able to access templates assigned to the author. You may also download audio files online, but with the proper codecs installed and template on your local drive.

Yes. Aside from the MTSO, the MT company can login to to manage work flow and all other task through our web portal, PROLINK.

IScribe has a notepad feature as communication between MTs and QAs. There isn’t access communication between MTs and Clients.

IScribe provides a “Sub Job” feature for multiple dictations in a single file. After transcribing one job, click on the “Sub Job” option before saving, and then it automatically opens a new document with the same audio file to continue onto the next dictation.

Our servers are located in our Michigan State branch. We also have a back-up server located in our main branch in Texas State. Our IT department monitors the servers on a daily basis to be sure that we are up to date with security, storage space, and data workflow management. There is no option for down-time.

All audio files and transcriptions are kept and archived for access on the web portal (PROLINK) for 30 days then is sent to our backup server. All files are then kept for a lifetime and each file may be requested at anytime for a minimal fee.

Audio files and transcriptions of all Status’ are stored on our local and back up servers. If at any time a backup or disaster recovery event may happen, we may recover these files from one of our back up servers which are located at both our main and remote branches.

Not at this time, but should be available within the first couple of weeks of May 2008. MedEncrypt will be compatible with various Philips SpeechMike models.

YES! Med Encrypt works hard on integrating our system with various hospital systems. We have worked with companies such as Dolbey. The system goes through an FTP process in which the files from the hospital are FTP’d to our system. The MTSO/MT Company then receive the files for transcription in our IScribe application. Once finished with transcribing and QA, those files are sent back to the hospital again through Iscribe which FTPs the transcriptions back to the hospital’s medical records or transcription department.

Yes. This is a customized request that can be done for your company.

Yes. Our system mainly works with wav, dss, .mp3, and ds2 files.

The line count report is in xls format, therefore is compatible to download or generate into Excel.

Yes. We can sell you the software in a box and customize it by creating add-ins to customize it based on your requirements. We also provide White Labeling which allows you to have your logo and other company information on the system.
