HIPAA requires that all the people in the chain of trust - Doctor, Transcriber and Solutions/Technology provider is able to demonstrate that only authorized persons are accessing patient data at each end of the dictation and transcription process.
HIPAA requires the secure transfer of files, and also mandates that only authorized personnel have access to patient data files. We have different layers of security that makes impossible for unauthorized persons to access the data, including our own tech support staff. We provide a unique software interface between application software for the transcriptionist, and application software for doctor's use that provides HIPAA-required security with following additional security features:
Encryption - All file transfers are protected by the use of 128-bit encryption. Encryption is the conversion of data into a form, called a cipher text that cannot be easily understood by unauthorized people. Decryption is the process of converting encrypted data back into its original form, so it can be understood. In order to easily recover the contents of an encrypted signal, the correct decryption key is required. The key is an algorithm that "undoes" the work of the encryption algorithm. Alternatively, a computer can be used in an attempt to "break" the cipher. The more complex the encryption algorithm, the more difficult it becomes to eavesdrop on the communications without access to the key.
SSL - Secure Socket Layer (SSL) is the Internet security protocol. It is an extremely important feature to consider when choosing a web based transcription services. SSL is a method of ensuring that information entered through your web based transcription system is protected from prying eyes. With SSL, information submitted on our web portal is first encrypted, submitted securely over the Internet, and then decrypted on the receiving end. SSL is most commonly used for credit card transactions but it can be used to collect any sensitive data. By convention, the url's of web pages that are transmitted using SSL start with https instead of http. This feature provides privacy, authentication and message integrity.
Firewalls - Our Hardware, Applications, Database and Software is protected with firewall management software.
AntiVirus - Our servers have been installed with Norton Anti Virus software that prevents the data from corrupting, effecting and malfunctioning. We make sure that the Virus versions are updated on the regular intervals to fight the newer viruses.
Verisign - Verisign is a leading provider of digital authentication products and services. Verisign authenticates our site for following stringent security measures. See certificate of authenticity by double clicking on “symbol” on the bottom of the right hand side of our portal.
Password Protection - Password can be defined as a sequence of characters or a word that a subject submits to a system for purposes of authentication, validation and verification. Our services are purely on subscription basis. Hence, only the subscribed authentic users- doctor, transcriber, Hospital administrator, and Service providers are provided with unique password to access the dictations and documents. If the operation is idle for 10 minutes after logging in, it will time off automatically.
